POSITION SUMMARY

The Fort Worth Symphony Orchestra Association is currently accepting applications for the position of Executive Assistant to the President & CEO.  This position supports the President & CEO on a wide range of confidential matters, including Board and donor relations.

PRIMARY RESPONSIBILITIES

  • Office administration
    • Maintain calendar for President & CEO, scheduling meetings when requested
    • Manage flow of documents for signature, including donor acknowledgement letters
  • Fund-raising
    • Maintain spreadsheet of grant application deadlines, including due dates for follow-up reports
    • Keep paper and electronic files of follow-up reports, including annual report
  • Human Resources
    • Maintain and update paper and electronic copies of job descriptions
    • Maintain and update organization charts for FWSO and departments
  • Board and musician committee meetings
    • Schedule meetings with Finance and Audit committees, and prepare minutes as requested
    • Schedule meetings with Music Director search committee, and key committees with Orchestra (e.g. Players, Artistic Advisory, Strategic Planning, Healthcare Taskforce)
    • Update Executive dashboard every other month
    • Prepare agendas and materials as needed
  • Wellness program
    • Schedule wellness presentations with orchestra and staff
    • Support setup of room for wellness evaluation
    • Coordinate activities with broker and health insurance company
  • Support for Labor Bargaining
    • Schedule meetings as required
    • Prepare materials and presentations
  • Other duties as requested

QUALIFICATIONS

  • Undergraduate degree with excellent writing skills
  • Minimum of 7-10 years’ experience in an office setting (ideally non-profit, corporation, or law office)
  • Must be able to effectively manage multiple priorities and meet deadlines
  • Knowledge of PowerPoint charts and graphs strongly preferred
  • Knowledge of the symphonic repertoire and performing arts a plus
  • Knowledge of Tessitura a plus
  • Diplomatic and tactful. Team player
  • Strong organizational and time management skills with attention to detail
  • Able to protect confidential information

COMPENSATION

Salary commensurate with qualifications and experience.  Full-time position with benefits.  Position requires evening and weekend work during performance season.  This position is classified as non-exempt (i.e. eligible for overtime pay). Some work weeks may exceed standard 40 hours.
